Hiring & Recruitment

Use Augie Works to post student employment opportunities, manage applications, communicate with candidates, and submit hire requests.

1. Post the Position

Before posting, confirm that your department has budget approval and that any required approval for a new position has been completed.

  1. Log in to Augie Works and open the JobX Job Control Panel.
  2. Select Add a Job.
  3. Select the appropriate department and job type.
  4. Complete all required fields and any job-specific application questions.
  5. Fields denoted with a red * are required fields.
  6. Review the default application questions. You may:

    • Remove questions that are not needed for the position.

    • Add job-specific questions to help evaluate applicants.
  7. Submit the position for approval and select the appropriate listing options.

Note: Any job-specific application questions you add must be reviewed and approved by Student Employment before they are available to applicants.

Do not use minimum qualifications to describe preferences. State required qualifications separately from skills that would be helpful but can be learned.

2. Create a Strong Posting

  • Describe four to six primary responsibilities in clear, student-centered language.
  • Identify required and preferred qualifications.
  • State expected hours and any evening, weekend, or variable scheduling needs.
  • Explain the skills, experience, and exposure students can gain.
  • Include only application questions and materials needed to evaluate candidates.

3. Promote the Opportunity

After approval, share the direct job link with relevant colleagues, academic departments, student organizations, current student employees, and departmental communication channels.

4. Review and Interview Candidates

  • To view applicants,click the ‘Applications’ link next to the job title or ‘Hire Applicant’ from the action drop down menu.
    • Click the Applicants Name link to view the application in a full screen view.
    • Click the magnifying glass next to the student’s name to get a quick view format of the application. 
    • If the student has provided a resume, click on the “Resume” link next to their name. 
  • Review applications using the responsibilities and qualifications stated in the posting.
  • Invite selected applicants to interview and provide the format, location, date, and time.
  • Ask consistent, job-related questions of candidates interviewing for the same position. Common interviewing practices with quesitons can be found in the Student Employment Hiring Guide: Interviewing Student Employees
  • Evaluate qualifications, availability, communication, reliability, and ability to perform the role.
  • Check references when appropriate for the responsibilities of the position.
  • If interested, you can check the student's Federal Work Study status, employment eligibility, and/or class schedule information prior to making a hiring decision. Click the ‘Search Student Awards & Class Schedules’ feature on the TimesheetX menu at the top of the screen. 

When candidates are equally qualified, supervisors may consider students with Federal Work-Study eligibility and international students whose employment options are generally limited to on-campus work.

5. Select, Notify, and Hire

  1. Extend a conditional offer and confirm the anticipated schedule, start date, and pay rate.
  2. To hire an applicant, in JobX, click on the ‘Applications’ link or select ‘Hire Applicant’ from the action drop down menu.
  3. This is also used to hire or rehire an applicant that did not submit an application. 
  4. Submit the hire request in JobX. The system will check employment eligibility and identify unresolved requirements.
  5. Monitor the request under JobX > Hire Requests. 
  6. When the student has been approved to work you will receive an email. 
  7. The student will need to accept the offer before they are officially hired. You may follow up with these students on acceptance of the position through the ‘JobX’ menu item ‘Hire Requests’
  8. Notify applicants who were not selected using the JobX rejection email function.
  9. Confirm that the hire is approved and the student has accepted the position before allowing work to begin.
