Augie Works Supervisor Resources

Use Augie Works to create and post student employment positions, review applicants, submit hire requests, and manage student timesheets.

All Fall 2026 Positions Must Be Entered

Every student employment position must be entered in Augie Works, including positions that will not be advertised and positions held by returning student employees.

Students cannot begin working, complete training, or record time until the position and hire have received final approval.

Before a Student Begins Working

Do not allow a student to begin working or training until the hire is fully approved.

Creating a position, selecting an applicant, or submitting a hire request does not authorize the student to begin working. The student must complete all required employment steps and receive authorization through Augie Works.

  • Students must not work during scheduled class times.
  • Supervisors must remain within approved departmental budgets.

Fall 2026 Launch Dates

Date What Happens
August 10 Augie Works opens to students searching for fall positions.
August 21 Deadline for supervisors entering their own positions.
August 24 Deadline to submit the Position Information Form for positions Student Employment will enter.
August 28 Extended deadline for supervisors returning during in-service week.
August 31 Fall payroll cycle begins. Students must be fully hired in Augie Works before they can record time.

Submit open positions as soon as possible so students can find and apply for them when Augie Works opens on August 10.

Student Employment Process

  1. The supervisor creates the position.
  2. Student Employment reviews and approves the position.
  3. The position is posted if applicants are needed.
  4. The student applies.
  5. The supervisor reviews and interviews applicants.
  6. The supervisor selects a student and submits the hire request.
  7. Student Employment reviews the hire.
  8. The student accepts the position and completes any outstanding requirements.
  9. The student receives authorization to begin working.
  10. The student records time in TimesheetX.
  11. The supervisor reviews and approves the timesheet.
  12. Payroll pays the student through Paycor.
Some steps require review by more than one office. The full hiring process may take several days or up to a few weeks, especially if the student has outstanding employment requirements.

Frequently Asked Questions

Do returning student employees need to be hired in Augie Works?

Yes. Every returning student must be connected to an approved Augie Works position before beginning work or recording time for Fall 2026.

Does a position need to be entered if it will not be posted?

Yes. Positions with students already selected must still be entered and approved. The position does not need to be advertised if no additional applicants are needed.

Can a student begin working while the hire is being reviewed?

No. The student may begin only after all requirements are complete and the hire has received final approval.

Should I create a separate position for every student?

Usually not. Students performing substantially similar work at the same pay level can be hired into the same position. Enter the correct number of available openings.

What do I do when a student applies more than once to a position? 

 If you receive multiple applications from the same student, review the most recently submitted application and confirm that it includes the updated information and attachments. Delete the earlier application or applications. This happens when a student edits and resubmits an application.

What should I do when all openings are filled?

Stop accepting applications, but keep the underlying position available if it will be used again. Do not make the entire position inactive if other students remain employed in it.

What if a student cannot access a timesheet?

Confirm that the student’s hire has received final approval. If the hire is approved and the timesheet is still unavailable, contact Student Employment.

What should I do before ending a student’s employment?

Contact Student Employment before terminating a student because of performance or conduct concerns. Supervisors should follow the recommended progressive discipline process and maintain appropriate documentation.
